Daily habits of good managers are useful when they make work clearer and support more reliable. They do not replace adequate staffing, safe systems or fair employment terms. This checklist is a practical starting routine for hotel managers, not a research-proven allocation of every minute.
Start with the shift, then plan your attention
Read the handover and address urgent risks. Walk the relevant operating areas when practical, looking for obstacles and listening—not repeating checks without a purpose. A 20–30-minute walk may fit one manager’s day; another role or shift needs a different pattern.

Keep one-to-ones useful and reliable
Agree a workable rhythm with direct reports. Ask what is on their mind, what support is missing and which commitments need an update. Let the employee raise priorities instead of turning every meeting into a status interrogation.
Emergencies can require a change. Explain promptly and book a replacement; do not let repeated cancellation become the routine. Schedule around all shifts and appropriate working hours rather than expecting unpaid availability.
Close commitments and recognise real contributions
Keep an owner and next date against each open item. If you cannot resolve something, provide a truthful update. Fixing a printer or clarifying a handover can matter more than making another general promise.
Recognition should name something observed, not invent a guest score or assume a guest’s needs. An illustrative wording is: “You asked the guest which access arrangement would work for them and checked it before assigning the room.” Ask before public recognition where someone may prefer privacy.

A copy-and-print checklist
Copy this checklist into your shift notes or use your browser’s Print command. Time allowances are examples, not minimum standards.
- Each shift: review the handover and urgent risks; note one obstacle that needs an owner.
- During the shift: listen to a colleague, recognise an actual contribution when appropriate and follow up on one commitment.
- Before handover: record unresolved issues and who will update the next shift.
- Weekly: complete scheduled one-to-ones and update the shared operational action list without exposing personal feedback.
- Fortnightly: check whether every direct report and shift has had a fair opportunity to raise concerns.
Time calculation: 14 direct reports receiving 30-minute meetings fortnightly means seven meetings each week, or 3.5 hours before preparation and follow-up. Add operational tasks separately. The full weekly commitment is therefore longer than the meeting time alone.
Night-shift adaptation: place conversations within rostered working time and pass unresolved repair requests to a named daytime owner. Ask how the colleague prefers to receive recognition.
Disrupted-day minimum: handle urgent risks, communicate changed commitments and arrange replacement conversations. The checklist should support judgement, not encourage a manager to ignore an incident to complete a routine.
An illustrative week for a hotel manager
Illustrative example. This is an original fictional scenario, not a case from the author’s work. People, properties and figures are invented for teaching; they are not reported outcomes or industry benchmarks.
A fictional front-office manager has ten direct reports and a fortnightly 30-minute one-to-one cycle. Five meetings this week require 2.5 hours, with extra time for preparation and follow-up. The rota below shows a possible distribution, not a universal schedule.

Each shift still starts with the handover and urgent risks. If an incident displaces a meeting, tell the employee and arrange a replacement. Do not photograph guests or record personal employee details in a public checklist. Judge the routine by useful follow-through, not by how many boxes the manager ticks.
