An internship offer letter is not a formality. It is the document that defines the relationship between your company and the intern from day one. A poorly written letter creates confusion, raises compliance risks, and can become evidence in a dispute. A well-written one sets clear expectations, protects both parties, and signals that your organisation operates to a professional standard.

Why Most UAE Internship Offer Letters Fail

The most common documentation mistakes in internship arrangements across UAE organisations are:

  • No defined start and end date, leaving duration open to interpretation
  • No clear statement of the intern’s role and responsibilities
  • No mention of working hours or days per week
  • No reference to stipend amount, or no confirmation that the position is unpaid
  • No named supervisor, leaving the intern without a point of accountability
  • No confidentiality or intellectual property clause

Each of these omissions creates a problem. Ambiguity about duration means the intern can claim the arrangement was open-ended. No role definition means disputes about appropriate tasks. No named supervisor means no formal accountability structure on either side.

What the Letter Must Include

  • Working hours and days per week
  • Stipend amount or a clear written confirmation that the position is unpaid

When You Need More Than an Offer Letter

For placements longer than two months, or where the intern will access sensitive business information, a full training agreement should accompany the offer letter. The offer letter states the terms. The training agreement defines the structure of the learning relationship in a format that MOHRE or a free zone authority can reference and enforce.

A training agreement goes further than an offer letter by including: the specific learning objectives in measurable terms; the competency areas the intern will develop; the process for ending the arrangement early; and the steps for raising a concern during the placement. Companies that operate only on a one-page offer letter for all internships are taking an unnecessary compliance risk for longer or more complex placements.

Free Zone Companies: What Changes

If your company is registered in a free zone, such as DIFC, JAFZA, ADGM, or TECOM, your internship documentation may need to meet additional requirements set by your free zone authority rather than, or in addition to, MOHRE’s mainland framework.

Check with your free zone HR or legal team before issuing any offer letter. Some free zones require the internship to be formally registered with the authority before the placement starts. Issuing an offer letter that does not align with your free zone requirements creates a compliance gap that is difficult to resolve after the intern has already started.

Digital Signatures: Are They Valid in UAE?

Yes. The UAE Electronic Transactions and Trust Services Law (Federal Decree-Law No. 46 of 2021) recognises electronic signatures as legally valid for most commercial documents, including employment and training agreements. Both parties can sign the offer letter digitally using a recognised e-signature tool, provided the method meets basic authentication requirements.

For government entities or free zone companies with specific documentation standards, verify whether a wet signature is required. When in doubt, request a signed physical copy as the formal record and use the digital version for convenience.

One Final Point on Stipend Transparency

If the placement is unpaid, say so clearly and directly in the letter. Do not use euphemisms. An intern who discovers mid-placement that they misunderstood the financial terms will not perform well and will not speak positively about your company afterwards. Transparency at the outset costs nothing. Ambiguity is expensive for everyone involved.
